Expense Sharing Corporate

Employee expense claims, approvals, finance review and reimbursement in one place. This guide explains how a company gets access, how to set it up, and how a claim travels from an employee to a recorded payment.

Overview

Corporate is a separate product from the free Expense Sharing app that friends and flatmates use. It has its own company workspace, roles, approvals and finance tools — and nothing from one is ever mixed into the other.

Company management

A company profile with base currency and financial year, departments, cost centres and expense categories, and a list of employees with their roles.

Employee expenses

Employees build a report of expense lines with receipts, check it against company policy, and submit it for approval.

Approval workflows

Configurable approval steps by manager, department head or role, with amount thresholds, comments, return-for-correction and delegation.

Finance review

Finance verifies receipts as part of the workflow, so an approved report is already checked and payable.

Reimbursements

Finance records payments and batches against approved reports. InventiPro records the payment — it does not move money.

Audit trail

Every change is recorded in a tamper-evident log, and a report's timeline shows who did what and when.
One account, two workspaces
You sign in with your Expense Sharing account. If you belong to a company, a workspace switcher lets you move between Personal and the company. Personal groups never see company data, and the reverse.

How a company gets access

Corporate is not switched on for everyone. Access works in two directions.

You are an employee

Ask your company admin to invite you. The invitation arrives by phone or email; open the link, sign in or create an Expense Sharing account, and the company appears in your workspace switcher. No separate approval from InventiPro is needed to be invited.

You are setting up a company

Creating a company needs an entitlement from InventiPro, so it cannot happen by accident. Contact us and we will either enable it for your account or send a one-time creator code to enter on the get-started page.
  1. 1

Create or sign in to your Expense Sharing account

Open /corporate and choose Corporate login or Create account. You sign up with your mobile number and a one-time code.
  2. 2

    Request or enter access

If your account can create companies you will see the company form. Otherwise enter the creator code we sent you, or ask us for access.
  3. 3

    Create the company

Enter the company name, base currency and the month your financial year starts. You become the first Company Admin.
Testing
To try Corporate with a test account, contact InventiPro to enable it and issue a creator code for that account. We do not publish shared test logins.

Set up your company

  1. 1

    Review the company profile

Check the base currency, financial year, logo and time zone. Every report is totalled in the base currency.
  2. 2

    Add departments and cost centres

Departments drive approval routing; cost centres let finance allocate spend.
  3. 3

    Check the categories

Twelve default categories are created for you. Rename, add or retire them to match how you account.
  4. 4

    Invite people

Invite by phone or email, or upload a CSV for a bulk invite. Set each person's employee code, title, department and reporting manager.
  5. 5

    Assign roles

Five role templates are provided: Company Admin, Finance, Approver, Employee and Auditor. The last Company Admin cannot be removed, so you cannot lock yourself out.
  6. 6

    Design the approval workflow

Choose the steps — manager, department head or a role such as Finance — and any amount thresholds. The workflow is frozen when a report is first submitted.
  7. 7

    Set policies

Add limits and rules. A WARN asks the employee for a justification and shows it to approvers; a BLOCK stops submission.

How a claim travels

  1. 1

    Employee creates a report

Add lines with date, category, merchant, amount, currency and payment method, and attach receipts. Foreign-currency lines keep their original amount and are totalled in the base currency.
  2. 2

    Policy and duplicate checks

Limits are checked as you type and again on submit. The same receipt file used twice is blocked for one person and flagged across people.
  3. 3

    Submit

The report goes to the first approver. The approver can never be the submitter: if the chain resolves to you it moves on to your manager, then to another Company Admin.
  4. 4

Approve, reject, return or exclude a line

Approvers never edit amounts. They approve, reject, send back for correction, or exclude a line with a reason. Sending back starts a new round when the employee resubmits.
  5. 5

    Finance verifies

A Finance step ticks each receipt as verified. After this the report is approved and payable.
  6. 6

    Payment is recorded

Finance records the payment or adds it to a batch with a reference, date and method. The payee cannot record their own payment.
Frozen at approval
Amounts and exchange rates are frozen at final approval, so a payment always matches what was approved.

Who can do what

Company Admin
Manages the company, people, roles, workflows, policies and billing.
Finance
Verifies receipts, records payments and batches, and runs finance exports.
Approver
Approves, rejects, returns or excludes lines on reports assigned to them.
Employee
Creates and submits their own reports and sees their own history.
Auditor
Read-only access to reports and the audit trail.

People who leave a company keep read access to their own reports until each is closed plus 90 days. A person who is not a member of a company cannot see it exists.

Troubleshooting

I don't see Corporate anywhere in Expense Sharing
Corporate is separate and by access. Open /corporate. If you are an employee, ask your company admin for an invitation.
"You can't create a company"
Your account does not have the creator entitlement. Contact InventiPro for access or a one-time creator code.
The invitation link says it is invalid
Invitations are single-use and expire. Ask the admin to resend it, and sign in with the same phone number or email it was sent to.
Submit is refused: no approver
The workflow found nobody eligible other than you. Ask an admin to set your reporting manager or add another Company Admin.
Submit is refused by a policy
A BLOCK rule applies, for example a limit. Reduce the amount, or ask your admin to change the policy.
"This was changed by someone else"
Another person updated the same record at the same time. Reload and try again.
A receipt upload is rejected
Use JPEG or PNG images or PDFs. Other image types such as WEBP are not accepted.

FAQs

Is Corporate part of the free Expense Sharing app?

No. Personal Expense Sharing stays free for friends and groups. Corporate is a separate product with its own company workspace, and it is not available to every account.

How do we try it?

Contact InventiPro. We enable it for your account and can issue a one-time creator code. We do not share public test logins.

Does InventiPro pay my employees?

No. Payments are recorded — reference, date and method — not executed. You still pay through your bank.

Can someone approve their own claim?

Never. The workflow skips the submitter and moves to their manager, then another Company Admin.

Which currencies are supported?

Lines can be in any currency; the report is totalled in your company's base currency using the exchange rate recorded on each line.

Is there a mobile app?

Corporate runs in the browser on any phone. A dedicated InventiPro Expense mobile app is being prepared and is not released yet.

Is it priced per employee?

Corporate is sold separately, priced per active member per month, with its own trial. Contact us for current plans.
